1. Data protection at a glance

The following information gives a simple overview of what happens to your personal data when you visit this website. Personal data is any data that can be used to identify you personally.

2. Data controller

Deutscher Hand-to-Hand Fight Verein e.V.
Von-Henneberg-Straße 14
97688 Bad Kissingen, Germany
Email: info@dhfv.de
Represented by the board: Adam Köpplin (Chair), Oleg Gabrielov (Vice-Chair), Dmitriy Shishonok (Treasurer)

3. Hosting

This website is hosted by an external service provider (STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin, Germany). Personal data collected on this website is stored on the host’s servers. We have concluded, or will conclude, a data processing agreement with the provider.

4. Server log files

The hosting provider automatically collects and stores information in server log files, which your browser transmits automatically. This information comprises: browser type and version, operating system, referrer URL, host name of the accessing computer, time of the server request and IP address. This data is not combined with other data sources. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in the error-free display and security of the website).

5. Contacting us & forms

If you contact us via a form or by email, we store the details you provide, including your contact details, in order to process your enquiry and in case of follow-up questions. Depending on the nature of your enquiry, the legal basis is Art. 6(1)(b) GDPR (pre-contractual measures/membership) or Art. 6(1)(f) GDPR (legitimate interest in responding). We do not pass this data on without your consent.

After you submit a form, we send an automatic confirmation of receipt to the email address you provided. To prevent misuse (mass submissions), we also store an encrypted check value (hash) of your IP address for one hour; the IP address cannot be recovered from it. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in reliable communication and in preventing misuse).

6. Membership

To establish and manage a membership, we process the data required for this purpose (e.g. name, address, contact details) on the basis of Art. 6(1)(b) GDPR.

You can also upload your completed membership application on the “Become a member” page (PDF or photo). The application contains the details from the application form, e.g. date of birth, address, contact details and signature. The files are transmitted in encrypted form and forwarded directly by email to info@dhfv.de; they are not stored on the web server but deleted automatically once sent. We use the application solely to process your admission and to manage memberships (Art. 6(1)(b) GDPR). If your membership does not go ahead, we delete the documents unless statutory retention obligations apply.

7. Embedded map

The contact page includes an embedded map (OpenStreetMap, operated by the OpenStreetMap Foundation, Cambridge, United Kingdom). When the page loads, your IP address may be transmitted to the map provider. The legal basis is Art. 6(1)(f) GDPR.

8. Spam protection with Google reCAPTCHA

To protect our forms from spam and automated requests, we use Google reCAPTCHA, a service provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (“Google”). reCAPTCHA is only loaded once you click “Enable spam protection” on a form. reCAPTCHA then uses various characteristics (e.g. IP address, browser and device information, time spent on the page, mouse and keyboard input) to check whether the input comes from a human. In the process, data is transmitted to Google and cookies or similar technologies are stored on your device. Data may be transferred to the USA; Google is certified under the EU-US Data Privacy Framework.

The legal basis is your consent (Art. 6(1)(a) GDPR, Section 25(1) TDDDG). You can withdraw it at any time with effect for the future by deleting the cookies set by Google in your browser; on your next visit, reCAPTCHA will only load after you click again. Without reCAPTCHA, you can always reach us by email at info@dhfv.de. Further information: Google’s privacy policy and terms of service.

9. Cookies and consent

On your first visit, a notice at the bottom of the screen asks whether you want to allow Google Analytics (see section 10). Without your consent, Google Analytics is not loaded; the website remains fully usable. “Decline” is just as easy as “Accept”.

We store your choice in your browser’s local storage so that the notice does not reappear on every page. It stays on your device and is not transmitted to us or to third parties. This storage is technically necessary to respect your decision (Section 25(2) No. 2 TDDDG). We ask again after 12 months.

You can change or withdraw your choice at any time via the “Cookie settings” link at the bottom of every page; if you withdraw consent, the Google Analytics cookies are deleted. Consent for Google reCAPTCHA on the forms and for the Instagram posts on the home page is requested separately, right where they appear (see sections 8 and 11). Beyond this, the website does not set any cookies.

10. Web analytics with Google Analytics

With your consent, we use Google Analytics 4, a web analytics service provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (“Google”). It shows us how our website is used, for example which pages are visited, how long visitors stay, where they come from and which type of device and browser they use. For this purpose, Google Analytics sets cookies and processes usage data and your IP address; Google Analytics 4 does not store the IP address. The analysis is pseudonymous and is not combined with other data.

We have configured Google Analytics to collect as little data as possible: Google Signals and data sharing with Google for its own purposes are disabled, detailed location and device data is not collected, and user-level data is deleted after 2 months. We have a data processing agreement with Google. Data may be transferred to the USA; Google is certified under the EU-US Data Privacy Framework.

Google Analytics is only loaded if you consent in the cookie banner. The legal basis is your consent (Art. 6(1)(a) GDPR, Section 25(1) TDDDG). You can withdraw it at any time via “Cookie settings” at the bottom of the page. You’ll find further information in Google’s privacy policy.

11. Social media and Instagram embed

This website links to our profiles on Instagram and YouTube. These are simple links; no data is transmitted to the providers until you click a link and visit the platform. The privacy policy of the respective provider then applies.

On the home page, we show the latest posts from our Instagram profile using Instagram’s official embed, a service of Meta Platforms Ireland Limited, Merrion Road, Dublin 4, D04 X2K5, Ireland (“Meta”). The posts only load once you click “Show posts”. Data such as your IP address, browser and device information and the page you are visiting is then transmitted to Meta, and Meta may store cookies or similar technologies on your device. If you are logged in to Instagram, Meta can link the visit to your account. Data may be transferred to the USA; Meta is certified under the EU-US Data Privacy Framework.

The legal basis is your consent (Art. 6(1)(a) GDPR, Section 25(1) TDDDG), which you give by clicking. It only applies to the current page view; on your next visit, the posts will only load after you click again. You can delete cookies set by Meta in your browser at any time. Further information: Instagram’s privacy policy.

12. Your rights

You have the right at any time to:

  • access the data stored about you (Art. 15 GDPR)
  • rectification of inaccurate data (Art. 16 GDPR)
  • erasure (Art. 17 GDPR)
  • restriction of processing (Art. 18 GDPR)
  • data portability (Art. 20 GDPR)
  • object to processing (Art. 21 GDPR)
  • lodge a complaint with a supervisory authority (Art. 77 GDPR)

You can withdraw any consent you have given at any time with effect for the future (Art. 7(3) GDPR). To exercise your rights, an informal message to info@dhfv.de is sufficient.

13. SSL/TLS encryption

For security reasons and to protect the transmission of confidential content, this website uses SSL/TLS encryption. You can recognise an encrypted connection by “https://” in your browser’s address bar.
